The Winter Ball</p>
<p>Christmas is just around the corner and what better way to ring it in than with the lgbt Winter Ball! This year the venue is the Britannia Hotel and the theme is masquerade.</p>
<p>The ticket will get you a three course sit down meal, half a bottle of wine, a private bar with student prices (£1.50 for singles and pints), music, a wonderful venue and an amazing night!</p>
<p>The price will be a mere £23! Tickets will go on sale next Monday and will be available from the ticket office in the union, online, or from committee. You need to get your ticket before the 25th Nov though; after that tickets will be £27.</p>

<p>- Consensus reaches on having a Gay and Lesbian drop in at the Peer Support Campus.</p>
<p>- In our aim to forge better relations with International Students, Robin, Mark, Eyo, Sam (and anyone else interested), to construct template (&amp; friendly) email to send to International Societies.<br />
- Possibility of doing an event with those who correspond back?<br />
- If doing &#8216;lunches&#8217; (women&#8217;s lunch etc..) might be an idea to visit the International Cafe.</p>
<p>EVENTS:<br />
- Idea to organise meetings with local Manchester LGBTQ Youth Groups<br />
- Ask organisers of such grounds if representitives of the society can meet with them and their members (informally)<br />
- CRB Checks required?</p>
<p>- There are several events the Society doesn&#8217;t want, or cannot officially endorce so we reccomend members post &#8216;event&#8217; details on the relevent thread on the discussion forums on the facebook group.<br />
- Co-chairs to link this events thread in every weekly email (even if just as a footnote)<br />
- Drop-ins to be advertised in weekly email, but instead of posting them all, just one link to all the drop-ins occuring that week. (including a link to the faceboook events, if applicable.</p>
<p>- Email Training Session:<br />
- Listening training, always a good idea for committee members to undertake. Contact Jennie if interested)</p>
<p>- Newcastle, Northumbria and Durham have booked event to come down to Manchester. (invite Liverpool too?) on 27th November.<br />
- Each society can do their own thing, but aim to meet up laer on in the evening at Essentials, which will be FREE before 1am (with a student card)</p>
<p>- Suggested that weekly events should be a priority agenda item each week. Consensus reached.</p>
<p>- Society recieved a letter from Manchester City Council regarding a memorial service honouring Alan Turing.<br />

<p>Began with introductions.<br />
In order to ensure smooth meeting decisions were taken regarding decision making procedures.<br />
- Voted FOR revolving Chair at meetings<br />
- Voted FOR the use of consensus decision making<br />
- 3/4 weeks time it was agreed the above decisions should be re-visited to ensure committee is working well.</p>
<p>With regards to allowing non-committee members to attend meetings committee decided:<br />
- Committee meetings should be open to all students<br />
- If private meetings are required committee should advertise the meeting as committee only in advance. This can occur after an open committee meeting if committee agrees and asks non-committee members to leave.<br />
- Non-Committee members although entitled to be present at committee meetings, are not entitled to vote.<br />
- Committee can open voting to all members if such an open meeting is called. This may occur for particularly important issues, that committee may think isn&#8217;t within their jurisdiction to decide or one in which the whole society may have an interest)</p>
<p>Moved on to discuss when and where meetings should be held:<br />
- Provisional consensus taken on having meetings once a week.<br />
- The date of committee meetings should alternate every other week, to ensure maximum turnout of committee members.<br />
- Days and times of the two sets of meetings to be decided at next meeting. Members are asked to contact the Co-Chair (Women&#8217;s Place) regarding their most suitable time and date.<br />
- Consensus was taken only on the assumption that all members are able to commit to at least one of the two alternating days of committee meetings. If this isn&#8217;t the case consensus was not reached as all committee members should have the opportunity to attend meetings.</p>
<p>Next meeting: Advice Centre, Wednesday 21st October, 7pm onwards.</p>
<p>Emails:<br />
- It was decided that the Co-Chairs should deal with email correspondence. Co-Chairs are reminded to keep in mind the role of reps when dealing with any query that may be within their remit. (A trans student may feel more secure being in contact with the Traps rep for example)<br />
- Consensus on having a weekly email sent out to society members to reduce spam.<br />
- Co-Chairs to deal with weekly emails (provisionally)<br />
- Memebrs wanting something in email are to contact Co-Chairs.<br />
- Next meeting to decide set day of weekly email send out.</p>
<p>Website:<br />
- Minutes to be put on website each week<br />
- Confidential information within minutes (including names, personal information and such) to be omitted.<br />
- Campaigns and Welfare Page to be added to website<br />
- Addition of other pages to by handled by the Reps.<br />
- Lesbian page to be handled by Co-Chair (Women&#8217;s Place)<br />
- Gay page to be handled by Events Officer (P.S)<br />
- Queer page to be dealt with by Secretary. (In putting with policy of Queer inclusivity)<br />
- Rep pages to contain names and photos of the elected Reps to allow members some familiarity with committee.<br />
- Also suggested Reps should give some extended information about themselves on their pages. Maybe humorous anecdote or random fact?<br />
- Reps are not obliged to put any personal details or a photograph of themselves on their page.</p>
<p>Facebook:<br />
- Discussion thread to be established on facebook group to discuss agenda items for each weekly meeting.<br />
- Facebook group to be moderated<br />
- Events posted on the wall to be deleted, but copied into specified &#8216;Events&#8217; thread.<br />
- Posts that are deemed to be offensive should be deleted. A message should then be sent to poster explaining why their post was deleted and urging them to rephrase their comment in a more considerate form.</p>
<p>Any Other Business:<br />
Reminder of upcoming event on Thursday 22nd October. &#8216;Rainbow Quiz Night&#8217;, 7:30pm, Oxford Pub (on Oxford Road).<br />
- Discussed asking for a £1 entry fee to be allocated as prize money for winning team.<br />
- Members of committee volunteered to head teams. Teams to be colour coded with colours of the rainbow.<br />
- Events Officer (E.E) to see about getting winning team dicsount/free entry into a club in the Villiage.<br />
- Details to be finalised at next meeting.</p>
<p>-Committee to plan event (meal seems popular suggestion) for themselves for ice-breaking, bonding and fun times. Variety of venues suggested. Decision to be made in future meetings.</p>
<p>***Minutes of (short) LGBT Welfare Collective Meeting***</p>
<p>25th-30th November is Domestic Violence Awareness Week.<br />
LGBT to work with White Ribbon Campaign and Broken Rainbow.</p>
<p>- To publicise awareness of domestic violence, some events were suggested:<br />
- Short play concerning LGBT domestic volence in the Union bar<br />
- Discounted &#8216;White&#8217; drinks in the Union bar (to advertise White Ribbon Campaign)<br />
- Stickers on discounted drinks with statistics regarding domestic violence (affecting LGBT and exclusive heterosexual individuals)<br />
- Bar staff asked to explain why drinks and discounted and to ask buyers if they would consider paying the normal price of their drink, witht he difference going to charity.<br />
- Proceeds raised in this way go 50/50 to the Broken Rainbow and White Ribbon Charities.<br />
- White Ribbons (available from the Womens Officer) can be sold to further raise money.</p>
<p><strong>2nd Meeting</strong> &#8211; 26 October</p>
<p>1. Winter ball</p>
<p>Societies accounts:<br />
- Handover not yet happened<br />
- We have £250 in the account at the moment<br />
- there&#8217;s another ~£300 from the fresher&#8217;s party that is currently AWOL<br />
- corporate sponsorship by e.g. PWC might be very useful</p>
<p>Ball:<br />
- theme will be masquerade ball<br />
- requires non-refundable deposit of £300<br />
- two choices are sacha&#8217;s or Britannia (to be decided which one by the 4th)<br />
- Britannia require bouncers (which they provide at £15 per bouncer per hour)<br />
- sit-down meal cheaper than buffet<br />
- will start at 8pm<br />
- ticket cost is around £21.50<br />
- prices decided on were £23 or £27 after 13 November</p>
<p>Fundraising planned:<br />
- slave auction for the week after reading week<br />

- volunteers needed for that<br />
- pub golf, with score sheets that cost money</p>

<p>Alasdair raised concerns about the accessibility of events, including the forthcoming Chinese meal.</p>

<p>3. Library and Safe Space</p>
<p>- will be holding training on the two Wednesdays after reading week<br />
- committee asked to attend at least one of them<br />
- online form will be sent round in society-wide message so people can sign up to do regular hours<br />

<p><strong>3rd Meeting</strong> &#8211; 2nd Nov<br />
Minutes get a bit patchy toward the end because I got a headache. Apologies.</p>
<p>1. Jonty<br />
Jonty is not in university this year, will not be on council.<br />
We could have an open place rep that doesn&#8217;t sit on council but helps Emma with welfare side<br />
People can however just turn up to council meetings</p>
<p>Action: message out to the society explaining that we don&#8217;t have an open place LGBT sec and whether anyone would like to take on the role but not have a council vote.<br />
Email should wait until after council.</p>
<p>2. Winter ball</p>
<p>- venue: Britannia<br />
- £300 deposit needed</p>
<p>- don&#8217;t *have* to pay for security<br />
- but we should look into having someone there anyway<br />
- price in full needs to be paid two weeks before the ball</p>

<p>Wednesday 9 November was chosen.<br />
November 25 as new cut-off date for expensive tickets.</p>

- we include only committee (7 for), but not non-committee members too (3 for), with 3 abstentions<br />
- we include former committee members (6 for &#8211; 3 against &#8211; 4 abstained)<br />
- we include a line about other people running but you have to check yourself</p>

<p>* No event this week, due to pub cancellation, so Co-Chair (Open Place) suggested as there is no event, we should make the event for this Sunday at Parlour (new bar near the village). Free tea, cakes and film.<br />

- Hope to hold a trans-related film in the week leading up te the vigil.</p>

- Need a replacement, even if they&#8217;re technically unable to sit on council<br />
